Everything you get with Price Book
Built by people who've actually run the truck. Every benefit below came from a pool service owner who asked for it.
Services priced the way you actually bill
Per visit, per hour, flat rate, per pool, per sq ft, per month. Whatever your business runs on, the price book runs the same way. Tie labor rates to services and margins show up automatically.
Materials, parts, and truck stock on one sheet
Every material carries price, cost, unit, and a link back to inventory. Add it to an estimate and it flows with the right numbers. Sell it from the truck and the stock decrements.
Chemicals handled like chemicals
Dual units (apply in oz, buy by the gallon). Three billing methods — included, per unit, per package. Rounding rules so you never ask a tech to pour 14.7 oz. Chemistry role auto-detected from the name.
Maintenance packages that run themselves
Bundle a base rate, chemistry template, required checklist, and included chemicals into one package. Drop it on a pool and every recurring visit runs the same way every week.
Labor rates with skill, not guesses
Senior tech, apprentice, plumber, electrician — each with its own billable rate and cost. Services link to the right rate so every estimate shows true margin before you send it.
Markups as quick options, not accidents
Rush fee, trip charge, after-hours, out-of-area. Percentage or flat rate, saved once, one tap on the estimate. No more back-and-forth with the office to find the "right" add-on.
Hierarchical categories that scale
Chemicals → Weekly Treatment → Shock. Services → Maintenance → Chemical Check. As many levels as your catalog needs. Every dropdown across the app filters off the same tree.
Save from an estimate, reuse forever
One-off line item on an estimate? One click turns it into a reusable price book entry. Your catalog grows with every job instead of rotting in a spreadsheet.
The difference, in plain English
Running a pool company before and after Price Book.
The old spreadsheet
- Three techs quoting three different prices for the same repair
- Last year's cost on this year's invoice
- "What do we charge for a pump motor again?" at 4:50 on a Friday
- Rebuilding the same estimate from scratch every time
- Rush fees that never make it onto the bill
- Chemistry packages explained verbally, then forgotten
With PoolSurf
- Every tech sees the same price on the same phone
- Change a price once, everything downstream catches up
- Estimates auto-populate — name, price, cost, linked materials
- Maintenance packages lock pricing when the program starts
- Markups are a tap, not a calculation
- Labor rates flow through services into margin on every bid
How it works
Three steps from "we should try this" to running it across the whole crew.
Build the catalog
Services, materials, chemicals, labor, markups, and maintenance packages. Organize into categories. Import what you already have or start from the defaults.
Link it up
Tie materials into services, labor rates into services, chemicals into packages. Once it's wired, the math runs itself on every estimate and every visit.
Price the business
Every estimate, work order, and recurring visit pulls from the same catalog. You adjust prices in one place and the whole company stays in sync.
Frequently asked questions
The stuff pool service owners usually ask about Price Book.
Can I import my existing price list?
Yes. Bring over services, materials, and chemicals from a spreadsheet or your old software. The structure (name, price, cost, unit, category) maps straight in, so you're not starting from scratch.
What happens to existing estimates when I change a price?
Prices snapshot when an estimate is created or a recurring service starts. Updating the price book affects new estimates and new programs — old ones keep the price you quoted. No surprise swings on a customer you've already billed.
How do maintenance packages work with the price book?
A package bundles a base rate, billing period (weekly, biweekly, monthly), mandatory checklist, and included chemicals. When you set up a recurring program for a pool, the package's pricing and chemistry template lock in for that customer.
Can I bill some chemicals included and others per unit?
Yes. Each chemical supports three billing methods — included in the service rate, billed per unit applied, or billed per package. Mix them on the same package (e.g. liquid chlorine included, muriatic billed per gallon).
Does the price book cover labor rates?
Yes. Build as many labor rates as you need — senior tech, apprentice, plumber, after-hours — each with a billable rate and cost. Services link to a rate so true labor margin shows on every estimate.
Is it one price book per company or one per location?
One per company by default, which keeps pricing consistent across every tech and every truck. If you run separate brands or territories with different pricing, talk to us about how we can tier it.
